The traditional 9-to-5 schedule has given way to more flexible working hours in recent years, as the modern workplace has grown and shifted to in-person, virtual, and hybrid work.

Some of these developments have caused people to work more efficiently. Others, however, see these shifting work hours as barriers to productivity, both for the person and the business. New methods for analyzing efficiency and motivating employees may need to be considered.

Long-term productivity is the goal of successful management, both for your team and your organization. The quality of relationships you form in the role can either help or harm you. Managers must educate themselves on productivity tips and tactics because they must learn how to remain productive. Here are five tried and true productivity-boosting tactics.

1. Make Plans for the Day

Planning is amongst the most important strategies for enhancing productivity.

To complete your tasks efficiently, you must first understand how to plan them. As a result, make it a routine to plan out each day's tasks first thing in the morning or the night before. Don't forget to examine the difficulty level of each task. As a result, plan activities that demand the most concentration (intellectual, artistic, etc.) for the morning, when you are less tired and more alert. Similarly, keep the most monotonous and regular activities for last. Because they require less energy, these activities are appropriate for the time of day when you will surely be more tired. Examine your daily to-do list regularly, but keep in mind that unforeseen circumstances may require rearranging your duties.

As a result, be reasonable and make changes to your plans.

2. Make Every Effort to Minimize Stress

When I was in management, I used to think that stress was the business equivalent of the common cold. It was far too common, causing employees to feel exhausted and less productive.

 Management may be a tough job, and it's simple to disperse that burden. Employees, on the other hand, prefer to appreciate and work hard for supervisors that take a calmer, low-stress approach. The more you can manage how you react to stress, the better. Again, common sense dictates that no person would choose to work in a high-stress atmosphere if given the choice.

3. Use the Pomodoro Technique

Implementing the Pomodoro technique is one of the most effective daily productivity strategies. Although you are not forced to use one in your business, the idea was sparked by a tomato-shaped kitchen timer. After 25 minutes of work, there will be a five minute break. Take a 30 minute break after working for two hours at regular five-minute intervals.

It is an effective strategy for improving time management skills and understanding priorities. People usually fail to set specific, time-bound goals and are regularly distracted by phones at work.

The Pomodoro method allows you to categorize your work and stay productive for long periods. You will become more proficient at breaking down your activity into short intervals if you use this strategy, and regular breaks will keep you energized.

4. Use a Priority System

The Eisenhower Matrix can be used. This priority quadrant strategy assists you in reflecting on what you can assign and what you must refuse, which is critical to your capacity to be a productive and efficient manager. ‍

  • “Important” and “Urgent” tasks. These are given top priority and should be your primary focus to complete them as soon as possible (usually on the same day).
  • “Important” but “Not Urgent” jobs. These are crucial long-term goals and projects that do not yet have a definite deadline. You should schedule them as soon as possible, with the most urgent ones coming after you've completed everything in the "Do" quadrant.
  • "Not Important," yet "Urgent" jobs. These are the jobs you can delegate to other specialists or appoint to finish yourself if necessary, but only after you have completed your first and second quadrant activities.
  • "Not Important" and "Not Urgent" jobs. The tasks are in the "Delete" quadrant because they should be avoided. This may vary based on the level of urgency and importance, but most of these jobs are unnecessary and would be regarded as a complete waste of time by most individuals.

5. Give Appreciation and Helpful Feedback

Rounds of critical feedback gives team members and management a chance to improve. It gives personnel clarity about their position and direction. Pay attention when team members provide input and, if possible, implement their suggestions. Changes prompted by these dialogues might encourage team members to enhance their performance and build trust.

Another important aspect of feedback sessions is recognition.

According to BusinessWise's “Top performance indicators survey,” 37% of team members feel most valued and motivated when they receive personal recognition for their efforts.

Acknowledging team members' efforts and achievements has a big impact on team morale, but a lack of gratitude can lead to exhaustion.

‍Productivity is about more than just saving time and boosting productivity by a specific percentage. It is a way of life that begins with practice. Working long hours will not boost your productivity.

Consider the following productivity suggestions for managers: spend time on goal preparation, take frequent stops, and keep your mind calm to truly see a change. Maintain a good work-life balance and focus on creative problem-solving strategies.
